Time Management


Do you ever feel that world is spinning too fast and you need sometimes to step back or even you really want to stop its spinning. Though, we need to manage our time so we won’t get stress because of it. Zen Buddha said there are always two options;- doing it or not doing it. In other words you can say, you have two options;- manage your time well or you just let it flows like river flows. Structured time management or unstructured time?

*Perhaps river time is not good analogy because actually it still has its structure, as you consider the river it shaped by the banks, stones and rocks and form its stream.*


No one–even those who took cognito labora ergo sum as their way of life manage their time only in structure. While we decide to take a time for relaxing, and do something that you couldn’t do in your daily that means you should combine the structure and unstructured time management. Now, how qualified your times are? You’re the one who make decision. The failed time management in beginning will give you domino effect. You get the consequences to re-arrange your planning and scheduling into other time. It reduces the productivity.

Folks, which one do you prefer? Someone who come late to the meeting or someone who left the meeting before it finish? This is completely up to you. Someone gave me description like this;- If someone came late to the meeting particularly you’re the chair, then you have opportunity to re-arrange the schedule and you have extra time to think about the problem. If someone left the meeting earlier before the discussion finish because of they have to attend other meeting, then you came up without any decisions and it means you just waste your time because you have to conduct other meeting to complete this meeting which is there is possibility to re-start the understanding from beginning. It is unproductive, though. I think it’s important to set the meeting and appointment’s objective clearly in beginning. So as everyone could accomplish their task without consume much time. There are so many tips regarding this. Such as;- selecting participants, developing agendas, establishing ground rules, and time management in meeting.

So, what’s the objective of this posting? Time management is important subject. Time is inelastic, once it passed away it never come back again. Everyone should manage their own time properly. Communicate is one of the key of successful time management. Moreover, while you should decide the “must do item”, “should do item”, or “nice to do item” or prioritize your tasks that related to other parties. Stephen R. Covey taught us about four quadrants of task and necessity; – unimportant and not urgent, unimportant and urgent, important and not urgent, and important and urgent. Well at the end of change management regarding this term (time), finally we’d like to manage all of task into important and not urgent quadrant. It could be reached if you don’t need to apply “fire-fighting” action anymore (it means you’re reactive). While you become proactive to accomplish your task and even improve your process to meet customer critical requirement —in this case is delivery time, I bet your customer is satisfied. Time management also about 4D’s, discard the unimportant and irrelevant task, delay, delegate to others, and do the tasks.

Some people feel their life is nothing while they waste their time. Contrary to that, they feel satisfy after accomplish a task and spend the time in a wise way. Sort of they get the essence of their life. What about you folks?
